Enquiries and specification requests

We receive the name, work email and company you provide. Quote requests may also include a phone number, installation postcode, selected booth types and project details. We use this information to respond, provide requested specifications and quotations, and discuss your project. Sending a request does not sign you up to a newsletter or ongoing marketing subscription. A sales representative may contact you about your request.

Sales follow-ups and stopping emails

For corporate business enquiries, we may send up to three automated follow-up emails over the week after providing the requested guide. These may include product advice, availability and pricing offers. We record the request, the privacy notice shown and email delivery and stop status; a privacy acknowledgement is not recorded as marketing consent. You can stop these emails using the unsubscribe link in each follow-up or by replying. Requesting another guide does not restart a stopped sequence.

Our sales mailbox connection checks message headers to detect replies and hand the conversation to a person. It does not need message bodies or attachments for this check. We keep a suppression record to honour opt-outs. You may also object to direct marketing by contacting us.

When you request a specification sheet or quote, we share your submitted enquiry details internally with our sales team through Slack. This includes your name, company, email, relevant product and, for quotes, any selected booth types, phone number, installation postcode and written message you provide.

When a first reply is detected, we may notify our sales team through Slack using the enquiry name, company, email address and handover status. The notification does not include the email body or attachments.

Where you request steps towards a contract with us, we use your information to take those steps. For business enquiries made on behalf of an organisation, we rely on our legitimate interests in responding to the enquiry and providing our services. We also process technical request data where necessary to operate and protect the website.

Analytics and advertising

With your permission, Google Analytics measures visits and successful enquiries. Advertising measurement, when enabled, helps us understand which Google Ads lead to enquiries. Optional storage and advertising personalisation are controlled by your cookie choices. We do not include your name, contact details or message in website analytics events, and do not enable enhanced conversions that upload your contact details.

Service providers and international processing

Vercel hosts and delivers this website. Resend processes enquiry emails, including requested guides and sales follow-ups. Enquiries are handled by our team through our business email service. Neon provides database storage for request, delivery and suppression records. Google provides our business email and, where you permit it, analytics and advertising services. Slack processes our internal enquiry and sales handover notifications. These providers may process information outside the UK. Applicable provider data-processing terms and international-transfer safeguards govern this processing.

How long information is kept

We keep enquiry information for as long as needed to respond, manage the resulting business relationship and meet applicable legal or record-keeping obligations. Relevant factors include whether you become a customer, whether a query or dispute remains open, and any legal requirement to retain records. You can ask us about retention of a specific enquiry or request deletion where applicable. Analytics event retention and cookie expiry are configured separately; our cookie policy explains browser storage.

Google Analytics user-level and event-level data are configured for two-month retention, without extending user-level retention on a new visit. Aggregated standard reports may be retained longer.

Your rights

Depending on the circumstances, you may ask to access, correct, erase or receive a portable copy of your personal information, restrict processing, or object to processing based on legitimate interests. Contact us using the email above. You can also complain to the Information Commissioner’s Office. Some rights have conditions or exceptions.

Updates

We update this notice when the website’s processing changes. A material change to optional tracking may require us to ask for your consent again.
